To ensure that all faculty and staff are covered by the district while conducting
off-site college business (travel/non-travel related), please submit your request
via links below.
Instructions:
- Faculty/staff submits a request (see link #2 below), prior to participating in the
off-site (non-GCC facility) activity. *At least 1-2 days business days prior.
- Note: Activities/functions that involve consistent/planned non-instruction related
items (e.g., monthly off-site meeting on a specific day) during the semester, can
be part of 1 online submission.
- Dean Saucedo reviews and responds (Division Chair is CC’d) within 1-2 business days,
or sooner.
- Faculty/staff submits mileage reimbursement (if applicable) to Division Support staff
on the mileage claim form (MCF). Division Support staff submits the MCF to the purchasing
department

Travel Claims:
- Scan your receipts and save as 1-2 PDFs. You can use the upright scanner in the division
office.
- Organize all of your receipts (registration, hotel, food, and Google map mileage) as PDFs and combine it with your travel claim form.
- Utilize the current mileage rate of ($0.67 for Fall 2024)
- E-mail Dean Saucedo your signed travel claim with the integrated receipts/documents
as one PDF attachment.
- For Planned absences: Leave of Academic Absence Form
- For Unplanned absences/Lateness, please report it to the GCC Faculty Absence Reporting Line: 818-246-5094 (it's recommended to put this number in your phone now so you have it handy)
- This recorded line is checked continuously from 7 a.m. until 8 p.m. You will be asked
to leave the following information:
- Name
- Class name
- Class time
- Class room number
- Special instructions for students, if any (these will be posted on the door)
- Reason for your absence (they just need to know if it's sick leave or personal necessity
- you do not need to give additional details)
- Absences and lateness are sometimes unavoidable, but it is truly important to let
the college and your students know as early as possible.
- The college will check your message immediately and post the information on your classroom
doors to notify students. If possible, it's still helpful to notify students by email
or a Canvas announcement about delayed or canceled classes.
- Even if all of your students are aware that class is canceled, you still need to report
the absence to the GCC Faculty Absence Reporting Line for record keeping and sick
leave!
